Terms of Use – Sworn & Certified Translation

Welcome to Chaafi Translation. These Terms of Service govern the use of our sworn and certified translation services. By requesting or using these services, you agree to the terms outlined below.

1. Scope of Services

Chaafi Translation provides:

  • Sworn translations (performed by legally authorized translators where applicable)
  • Certified translations (accompanied by a statement of accuracy)
  • Document-related services for official, legal, academic, and administrative use

We aim to meet the requirements of institutions such as courts, universities, embassies, and government bodies. However, requirements may vary by country or authority.

2. Definitions

  • Sworn Translation: A translation performed by a translator officially authorized by a competent authority.
  • Certified Translation: A translation accompanied by a signed declaration attesting to its accuracy and completeness.
  • Client: The individual or entity requesting the service.

3. Client Responsibilities

You agree that:

  • All submitted documents are authentic, complete, and lawful
  • You have the legal right to request translation of the documents
  • You will clearly specify if the translation is intended for a specific authority (e.g., embassy, court)

Chaafi Translation is not responsible for verifying the authenticity of original documents.


4. Acceptance by Authorities

While we strive to meet official standards:

  • We do not guarantee acceptance of translated documents by every authority or institution
  • Acceptance depends on the specific requirements of the receiving body (which may change without notice)

We recommend that clients confirm requirements (format, notarization, legalization, etc.) before placing an order.

5. Certification & Format

  • Certified translations include a declaration of accuracy, signature, and stamp where applicable
  • Sworn translations follow the legal format required in the jurisdiction of the sworn translator
  • Physical copies, digital copies, or both may be provided depending on the service selected

6. Confidentiality & Data Protection

We treat all documents with strict confidentiality:

  • Documents are accessed only by authorized personnel or assigned translators
  • We do not disclose information to third parties unless required to complete the service or by law
  • Secure handling methods are used for both digital and physical documents

Clients may request additional confidentiality agreements if needed.

7. Turnaround Time

  • Delivery times are estimates based on document length, complexity, and language pair
  • Urgent services may be available at additional cost
  • Delays caused by incomplete or unclear documents are not our responsibility

8. Revisions & Corrections

  • Clients may request corrections for errors related to the translation within [X days] of delivery
  • Corrections are limited to the original submitted content
  • Any modification of the original document after submission may require a new translation

9. Fees & Payment

  • Pricing is based on word count, document type, certification level, and urgency
  • Payment terms are agreed upon before work begins
  • Sworn/certified translations are non-refundable once work has started, due to their official nature

10. Limitation of Liability

To the extent permitted by law:

  • Chaafi Translation is not liable for rejection of documents by third parties
  • We are not responsible for consequences arising from the use of translated documents
  • Our liability is limited to the amount paid for the service
  • Sworn translations are valid only within the jurisdiction where the translator is authorized, unless otherwise recognized internationally
  • Certified translations are provided in good faith but may require additional legalization (e.g., notarization, apostille) depending on the destination country

12. Cancellation Policy

  • Orders may be canceled before work begins with a possible administrative fee
  • Once translation has started, cancellation may result in partial or full charges

13. Governing Law

These Terms shall be governed by applicable laws in the jurisdiction where Chaafi Translation operates, while considering international service standards.

14. Amendments

We reserve the right to update these Terms at any time. Continued use of our services constitutes acceptance of the updated Terms.

16. Legal Disclaimer for Embassies & Visa Applications

Chaafi Translation provides sworn and certified translation services intended to support administrative, legal, academic, and immigration-related procedures, including embassy submissions and visa applications.

However, the following applies:

  • We do not guarantee acceptance of any translated document by embassies, consulates, visa centers, or immigration authorities.
  • Acceptance criteria vary by country, institution, and case type, and may change without prior notice.
  • It is the client’s sole responsibility to verify the specific translation, certification, notarization, or legalization requirements of the relevant authority before submitting documents.
  • We are not responsible for delays, refusals, or additional requirements imposed by embassies or visa offices.
  • Any request for additional legalization (such as apostille, notarization, or embassy legalization) must be clearly communicated in advance and may incur additional fees.

By using our services for visa or embassy-related purposes, you acknowledge and accept that final approval rests exclusively with the receiving authority and not with Chaafi Translation.
